Job Summary

The Virtual Inventory and Supply Chain Coordinator (VISCC) is responsible for working collegially with health centers and pharmacy/wholesaler partners to administer the pharmacy services program, including but not limited to ensuring timely replenishment orders, invoice reconciling, and payment processing. A summary of the duties includes: maintaining accurate inventory counts in system database; receiving, converting, and processing data files into virtual inventory management system; initiating and completing orders based upon data files; reconciling orders; and ensuring inventory controls and supply chain processes are maintained. The VISCC is responsible for following security and confidentiality policies, for maintaining high-quality customer service relationships, and must ensure highly accurate and detailed records. The VISCC position requires intermediate to advanced excel skills, a high level of detailed orientation, and experience in working with databases (SQL preferred). Microsoft Excel skills are mandatory and no candidate will be interviewed without proven intermediate to advanced excel skills.   

Principle Responsibilities

General Duties

  • Receive and process patient eligibility records, confirm and correct records in system with participating members. Track and issue payment corrections on errors.
  • Receive and correct claim data files from contracted pharmacies.
  • Track inventory through database system and through Microsoft Excel.
  • Process claims in Microsoft Excel and database with accuracy and attention to detail.
  • Issue orders of inventory through wholesaler.
  • Process and track orders.
  • Process and track invoices in collaboration with wholesaler and contract pharmacies.
  • Track status on processes and report status through monthly reporting.
  • Perform other duties as assigned.
  • Assist in monitoring all drug wholesaler invoices received to ensure accuracy of items ordered and shipped.
  • Assist with reporting relevant product and pricing changes to health centers in a timely manner or as needed/requested.
  • Assist in maintaining all records and relevant pharmacy information in an organized and easily accessible filing system; and
  • All other duties as assigned.

Qualifications

  • Computer Skills:  Must have demonstrated intermediate/advanced skills in Microsoft Excel and data entry skills. Preferred skills are advanced level of Microsoft Excel, SQL and experience using Microsoft Access. Preferred also is experience using accounting software.
  • Detail Orientation: Ability to work with a high level of detail orientation, using caution and self-checking work to minimize errors. Data entry skills must be highly proficient with minimal errors and must be able to work with a high level of focus for long periods of time.
  • Mathematical skills: Ability to add, subtract, multiply, divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to construct and interpret graphs. Ability to use mathematical and logical functions in excel for efficiency in work;
  • Reasoning: Ability to apply common sense understanding to solve data related virtual inventory control problems and opportunities. Ability to use efficient data entry and data management solutions throughout the course of the day such as Excel shortcuts and workflow improvements.
  • Physical Demands: This is a sedentary position with minimal interactions with others. It requires long hours of detailed and focused data entry in front of computer screens. A standing desk may be provided.
  • Ability to balance multiple projects and deadlines;
  • Demonstrated organizational skills and self-motivation;
  • Must have strong interpersonal and communication skills and critical thinking abilities;
  • Demonstrated proficiency in electronic data maintenance, with the ability to analyze, summarize and compile data in a user-friendly format; and
